Privacy Policy
This Privacy Policy explains how AppraiserHQ (“AppraiserHQ,” “we,” “us,” or “our”) handles personal information in connection with the AppraiserHQ application and related services (the “Service”). It applies to our public website and to the Service. By using the Service, you agree to this Policy.
1. Roles
For personal information that a customer firm submits to the Service about its own clients, contacts, and matters (“Customer Data”), the firm is the party that determines the purposes and means of processing, and we process that information on the firm’s behalf under our agreement with them. For information we collect to operate our business — such as account registration and website analytics — we are responsible for that processing as described below.
2. Information we collect
Information you provide
- Account information— when an account is created or an access request is submitted: name, email address, firm name, role, and any notes provided.
- Customer Data— the orders, clients, contacts, schedules, files, invoices, and related records that authorized users enter into the Service. This may include personal information about the firm’s clients and third parties (for example, property owners or access contacts). Customers are responsible for having the right to provide this information.
- Communications— information you submit through in-app forms or requests.
Information collected automatically
- Usage and device data— such as IP address, browser and device type, pages viewed, and timestamps, collected to operate, secure, and improve the Service.
- Cookies and similar technologies— we use strictly necessary cookies for authentication and security (for example, to keep you signed in). We do not use the Service’s cookies to track you across unrelated third-party websites.
3. How we use information
- to provide, operate, maintain, and secure the Service;
- to authenticate users and protect against fraud, abuse, and unauthorized access;
- to respond to requests and provide support;
- to send service-related communications, such as account and security notices;
- to monitor, analyze, and improve the Service and develop new features; and
- to comply with legal obligations and enforce our agreements.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. How we share information
We share personal information only as follows:
- Within a customer’s account— Customer Data is accessible to the authorized users of the firm that owns it, according to the roles and permissions the firm configures. Accounts are logically separated so that one firm cannot access another firm’s data.
- Service providers— we use vetted vendors to host and run the Service (for example, cloud hosting, database, file storage, and email delivery). They may process information only on our instructions and under confidentiality and data-protection obligations.
- Integrations you enable— if a customer connects a third-party service (for example, an accounting tool), we exchange data with it as needed to provide the feature. That third party’s handling of the data is governed by its own policies.
- Legal and safety— we may disclose information if required by law or valid legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of AppraiserHQ, our users, or the public.
- Business transfers— if we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
5. Service providers and location
We host the Service using reputable cloud infrastructure providers and may store and process information in Canada, the United States, or other jurisdictions where we or our providers operate. Where information is transferred across borders, we take steps intended to ensure it remains protected consistent with this Policy and applicable law.
6. Security
We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit, encryption of certain sensitive credentials at rest, access controls and role-based permissions, tenant isolation between customer accounts, and the principle of least privilege. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials confidential and for configuring your firm’s roles and permissions appropriately.
7. Retention
We retain personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained while a customer’s account is active and may be deleted after a reasonable period following account closure or termination. Customers should export data they wish to keep before closing an account.
8. Your rights and choices
Depending on where you live, you may have rights regarding your personal information, such as the right to access, correct, delete, or port it, or to object to or restrict certain processing. For information held within a customer firm’s account (Customer Data), the firm controls that information — please direct your request to the firm, and we will support the firm in responding. For information we control (such as an account we hold about you), you may submit a request through the account or the in-app request mechanism, and we will respond as required by applicable law. We may need to verify your identity before acting on a request.
9. Children
The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please let us know through the Service so we can address it.
10. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “ Effective” date above and, where appropriate, provide notice through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
